Freight billed on credit, cash collected at doorsteps, drivers paid weekly, fuel and tolls paid daily. Logistics businesses handle money in more directions than almost anyone, and most of it has to be matched back to a shipment or a trip.
- Collect freight on time
- Remit and reconcile COD
- Pay drivers and partners reliably
- Control fuel and toll spend

Money in every direction
| Flow | Direction | Matched to |
|---|---|---|
| Freight invoices | In, from business customers, often on credit | Invoice and shipment references |
| Cash on delivery | In at the door, then out to the shipper | Parcel |
| Driver and partner pay | Out, weekly or more often | Trips and incentives |
| Fuel and tolls | Out, daily | Vehicle and trip |
| Vendor payments | Out: repairs, warehouses, sub-contracted carriers | Invoices |
| Damage and loss claims | Out to customers, sometimes in from insurers | Claim |
Freight: shortening the wait
Business customers usually pay freight on credit terms, and the gap between delivering and being paid is what funds (or strains) a transport business. Every day an invoice goes unsent, or a payment arrives without a reference, adds to it.
Invoice with the shipment references the customer needs to approve it, give each customer a dedicated way to pay, and reconcile daily so overdue invoices are chased before they're old.
Invoice on delivery. With proof of delivery and shipment references attached.
A payment route per customer. Virtual account or payment link, so receipts identify themselves.
Chase before due. A reminder a few days before, not a demand after.

Cash on delivery, from doorstep to remittance
For a courier, COD cash belongs to the shipper from the moment it's collected. It passes through delivery agents, hubs and bank deposits before being remitted, net of charges. Every handover is a place where money can be delayed, miscounted or lost.
- 01
Collect
Cash, or UPI at the door against the parcel.
- 02
Hand over
Agent deposits at the hub, counted and receipted.
- 03
Bank
Hub cash deposited; digital collections already in.
- 04
Remit
To the shipper, per the agreed cycle, net of charges.
- 05
Reconcile
Parcel by parcel, with the shipper.
Digital collection at the door (a dynamic UPI QR or a link) removes most of the cash handling. See UPI QR.
Paying drivers and delivery partners
Drivers and delivery partners judge a company by how reliably it pays. Payouts on a fixed, frequent schedule, to verified accounts, with a clear breakdown of what each payment covers, prevent most disputes and much of the churn.
Verify each partner's bank account at onboarding, pay in batches from a funded account, and send a statement with every payment: trips, incentives, advances recovered, and any deductions.
| Line | Example |
|---|---|
| Trips completed | Count and earnings |
| Incentives | Targets met, peak-hour bonuses |
| Advances recovered | Fuel or cash advances deducted |
| Deductions | As agreed, each explained |
| Paid | Amount, date and bank reference |
Fuel, tolls and trip costs
Fuel and tolls are paid every day, often by drivers on the road, and they're among the largest costs a fleet has. Moving them off cash and onto instruments you control (prepaid or fleet cards for fuel, a tag per vehicle for tolls) gives you the data to match every expense to a trip. Compare planned costs with actual ones each week; the differences point to route changes, wrong toll classes or misuse.
Damage, loss and claims
When a shipment is damaged or lost, money flows back: compensation to the customer under your terms, and sometimes a recovery from an insurer. Record each claim against the shipment, pay compensation to a verified account, and keep the insurer recovery linked to the same claim so the net cost of every incident is visible.
If a customer deducts a claim from a freight payment, record both separately. Netted amounts are where disputes and reconciliation gaps hide.

Logistics payment questions
How should COD remittances be reconciled?
Parcel by parcel. Every delivered COD parcel should appear in a remittance, every returned one shouldn't, and every deduction should match your contract. A week-level total hides the parcels that go missing.
Can COD be collected digitally at the door?
Yes: a dynamic UPI QR on the delivery agent's device or a payment link sent at the doorstep lets the customer pay the exact amount digitally. It reduces cash handling and ties the payment to the shipment automatically.
What's the best way to pay drivers and delivery partners?
Bank payouts on a fixed schedule, to verified accounts, with a statement showing what each payment covers: trips, incentives and deductions. Many fleets pay more often than monthly, because partners value predictable, frequent pay.
How do we collect freight from business customers faster?
Invoice promptly with the shipment references, give each customer a way to pay that identifies them (a virtual account or a link on the invoice), and follow up before the due date, not after.
How should tolls be managed for a fleet?
With a tag per vehicle, funded balances, alerts to the finance team, and deductions matched to trips. See the FASTag guide for the details.
Does LILPE work with logistics companies?
